Author Guidelines
GUIDELINES FOR AUTHORS
1. Manuscript Submission
Manuscripts for publication in the scientific-methodological journal “Zhana Arkhiv” (acceptable file formats – .doc, .docx and .rtf.) are accepted, and communication between the editorial office, authors and reviewers is conducted, exclusively through the Journal’s electronic editorial system (Open Journal Systems).
To submit material, the author needs to Log In or Register (in the Make a Submission section).
Before starting the submission, authors are advised to read the Editorial Policy of the Journal and the Publication Ethics posted on the Journal’s website.
Within seven days of receipt of a manuscript, the editorial office sends the author, via the electronic platform, an acknowledgement of its receipt indicating the date of receipt and the registration number.
The author(s) can track all stages of the editorial process (manuscript submission, peer review, editorial processing, decision-making, publication of the article) on the Journal’s website.
2. Originality Check
Submitted manuscripts are checked for text originality using the Antiplagiat system.
The minimum originality score of an article must be at least 75%. Authors are responsible for correct citation, proper referencing of the sources used and compliance with copyright.
The editorial office has the right to reject a manuscript without sending it for peer review if its originality score is below the established threshold.
3. Initial Editorial Assessment
The initial check of a manuscript includes an assessment of the article’s compliance with:
- the subject areas and profile of the Journal,
- the requirements for structure and formatting,
- the principles of publication ethics.
Manuscripts that do not meet these requirements may be returned to the authors for revision or rejected without being sent for peer review.
4. Peer Review
Manuscripts that have successfully passed the initial assessment undergo independent double-blind peer review.
The deadline for preparing a review is fourteen days from the date the reviewer receives the manuscript. Should an extension be necessary, the editorial office agrees on a new review timeline.
5. Decision Based on the Results of Peer Review
The final decision on publication, revision or rejection of a manuscript is made by the Editor-in-Chief, taking into account the reviewers’ reports, the article’s compliance with the requirements of the Journal and its Editorial Policy, and the recommendations of members of the Editorial Board.
The editorial office notifies the author of the results of peer review via the electronic platform within 4–5 weeks of the date the manuscript is accepted for consideration. The author(s) receive an official notification of the acceptance of the article for publication, the need for revision or the rejection of the article.
6. Manuscript Revision
If an article is returned for revision, the editorial office forwards the reviewers’ comments and recommendations to the author.
The author must submit the revised manuscript within ten days of receiving the comments, unless a different deadline has been agreed with the editorial office.
If a second round of peer review is required, the revised manuscript is sent to the reviewers to verify the completeness and correctness of the changes made.
If a revised manuscript is not submitted within the established deadline without an extension agreed with the editorial office, upon its subsequent receipt it is treated as a new submission and undergoes the established review procedure.
7. Editorial Preparation and Publication of the Article
Acceptance of an article for publication does not mean that it will necessarily appear in the next issue of the Journal. The editorial office has the right to change the order of publication, taking into account thematic planning, the structure of the issue and the organisational specifics of the publishing process.
The editorial office has the right to make editorial and stylistic changes to the text of an article, to correct technical and language errors and, if necessary, to shorten the material. Such changes must not distort the content, scientific conclusions or the author’s position.
The date on which an article is received for the next issue of the Journal is the date on which the editorial office accepts the final version of the manuscript after the completion of peer review and editorial processing.
Requirements for Submitted Materials
By submitting an article to the editorial office, the author confirms that:
- - the material meets the requirements described in the section Article Submission Guidelines;
- the manuscript has been prepared in accordance with the Journal’s established requirements for the formatting of scientific materials;
- the submitted material has not been published previously and is not currently under consideration for publication in another scientific publication;
- all bibliographic references and information on the sources used have been checked for reliability, accuracy and completeness;
- tables, figures and other illustrative materials are appropriately numbered and have titles or captions;
- the necessary permissions have been obtained for the use and publication of photographs, datasets and other materials whose rights belong to third parties.
Privacy Statement
Personal data, including authors’ names and e-mail addresses, provided during registration on and use of the Journal’s website will be used exclusively for the purposes of organising the editorial and publishing process, considering manuscripts and ensuring communication with authors.
